Unigrafia is renewing the printing service for its partner universities under the name Uniprint in fall 2024!

Project and Schedule 

The Uniprint service renewal project will upgrade the printing systems and devices across four universities. Installations will proceed as follows: 

  • University of the Arts: June-July 2024 
  • Haaga-Helia: September 2024 
  • Aalto University: October-December 2024 
  • University of Helsinki: October-December 2024 

Background 

Unigrafia has provided printing services to universities for many years. The current Canon period is coming to an end, and extensive groundwork was conducted in preparation for the 2024 system and device renewal. This included user research, service design, requests for proposals, tendering, supplier selection, contract signing, and finally, planning and implementation. 

Device Quantity 

Unigrafia has reviewed the number of devices required based on long-term usage data and discussions with university faculties and departments. The upcoming number of devices is designed to meet needs as comprehensively and cost-effectively as possible. The total number of devices reflects actual usage and demand, with approximately 650 devices planned, a notable reduction from the previous 1,100 devices. 

Our New Supplier Ricoh 

As part of this renewal, the device and system supplier will change, and our new partner is Ricoh Finland. 

Devices 

All devices within the service will be replaced with new-generation equipment. Three different multifunction device models and two network printer models have been selected. Device locations will be concentrated to favor shared multifunction devices. The models, quantities, and locations have been decided in collaboration with the universities IT-departments and individual departments. 

The selected models are highly modern and efficient, bringing a new level of capacity to university printing. They are energy-efficient and manufactured according to responsible principles and processes. For more information on the models, please see here: Uniprint Device Models. 

Service 

Unigrafia will take on a significant, broader responsibility for the overall service. We will be more deeply involved in service maintenance, as well as in providing support and guidance for complex issues. 

Unigrafia is fully responsible for the service, covering the following aspects: 

  • Defining device quantities and locations with the university 
  • Device orders, deliveries, removals, transfers, and relocations 
  • Maintenance of service and devices, statistics, and lifecycle tracking 
  • Monitoring service levels 
  • Continuous service monitoring, development, and optimization 
  • Billing 
  • Supplying paper 
  • Providing usage guidance upon request 
  • Offering guidelines and a support website for the service 

University IT Responsibilities 

  • Workstations and print queues on workstations 
  • Application and workstation issues 
  • Other disruptions 
  • Problem-solving in collaboration with Unigrafia 
  • Network functionality 
  • Print rights and their management 

Customer Organization and End-User Responsibilities 

  • Adding paper 
  • Removing minor paper jams 
  • Replacing toner cartridges 
  • Changing waste toner containers 
  • Recycling supplies 
  • Requesting device maintenance 
  • Ordering paper (from Unigrafia) 
  • Ensuring the device remains online and is not powered off 

Supplier (Ricoh) Responsibilities 

  • Delivering and physically installing devices 
  • Device maintenance, supplies, toner, and spare parts 
  • Print management system, print portal, and balance store 
  • Maintenance and technical support 
  • Organizing recycling
